Do you users need to look for (physical) files and many times can't find them? If so, you may consider using RFID to tag the files, then a simple patron around the office will locate them quickly! Quite some law firms in US are using this technology to practically eliminate the problem of missing files for their legal cases.
One such law firm is the WHDA LLP with about 60 staff members. They
regularly need to use about 4,500 active files. As many well-organized
companies do, they have a central filing room to store the files and
everyone taking files out of the room must sign on a form. However,
files still got missing. Why? Because people tend to forget to do it.
To solve this problem, WHDA sticks RFID tags to the files. Every week
one staff member holds a handheld RFID reader to patron around the
office to perform an inventory. Missing files are also identified. Now,
practically they no longer encounter missing files any more.
How difficult was it to setup the system? Surprisingly, they installed
the system over a single weekend.
